Privacy Policy

Who is responsible?

Dig Maps provides online event mapping and attendee communication tools. Dig Maps is responsible for personal information used to manage the platform, accounts, enquiries and business contacts. Contact office@dig-maps.com about privacy.

Clubs and event organisers generally decide why attendee information is collected and how it is used. Dig Maps processes that information to provide the service on their behalf. Ask your organiser for its privacy notice and contact it first about event records. We can help direct your request.

Information we use and why

• Accounts: names, email addresses, group membership, roles and password hashes, to provide and secure accounts. Our basis is performing our agreement with you, or our legitimate interests in providing access to your organisation where you act on its behalf.
• Events: event details, maps, access areas, emergency contacts, attendee names and emails, registration confirmations, private access tokens, delivery records and check-in times. These support event administration and attendee access. Organisers identify the lawful basis for their attendee processing; Dig Maps also has legitimate interests in securing and maintaining the platform.
• Enquiries and partnerships: names, emails, phone numbers, websites, messages, advertising interests, contact status and notes. These may come from you, your organisation or public business sources. We use them to answer enquiries and manage relevant discussions, based on steps you request before an agreement or our legitimate interests in handling enquiries and developing business relationships. You can object to direct marketing at any time.
• Technical information: hosting and security systems may process IP addresses, browser/request details and error logs. Registration protection uses a keyed hash of an IP address to limit repeated attempts. Our basis is our legitimate interests in preventing abuse and maintaining reliability.
• Statistics: aggregate public-page views, approximate country and sponsor impressions/clicks help us understand use. Country is estimated from an IP address using a local database. Page-view statistics retain totals rather than raw IP addresses or a named visitor history. Separate hosting logs may still contain IP addresses.

GPS and maps

Your browser asks permission before providing location for on-site guidance. The current map uses this in your browser to show your position and calculate direction and distance. Dig Maps does not store a continuous GPS trail through this feature. Check-in records an event access token and time, rather than GPS coordinates.

Map imagery requests to MapTiler disclose connection information, including an IP address and the map tiles requested, which can indicate the area being viewed. Revoke GPS permission in your browser or device settings; you can still view event information without location guidance.

Recipients and external services

Relevant event organisers, authorised platform administrators and providers needed for hosting, storage and email delivery may access information for their tasks. Organiser-provided emergency contacts and event details can be visible to people with event access. Keep private event links confidential.

Event pages request map imagery from MapTiler, mapping software from unpkg and, on some pages, a sound resource from Google. Loading these resources sends network information to those providers. Following Google Maps, what3words or sponsor links opens a separate service with its own policies.

Sponsor placements do not give sponsors access to attendee lists. Sponsors receive information you give them directly and connection information when you visit their websites. Information may also be disclosed where legally required or necessary for legal claims.

International processing

Dig Maps website hosting and email data are stored in the UK. External map and content providers may process requests outside the UK. Where Dig Maps arranges a restricted international transfer, an appropriate safeguard is needed, such as an adequacy decision or approved contractual protections. Contact us for information about providers and safeguards relevant to your information.

Retention

Account information is retained while needed to provide and administer the account. Event and attendee records are retained according to organiser instructions and the need to manage events, answer queries and resolve disputes. Expiry of an event link does not itself delete the underlying records.

Enquiries and partnership records are kept while the discussion or relationship remains relevant, and where necessary for legal obligations or disputes. Retention decisions consider purpose, sensitivity, outstanding issues and legal requirements. Backups and provider logs may follow separate cycles. Contact us to request deletion or ask about retention of a particular record.

Your rights

Depending on the circumstances, you may request access, correction, erasure, restriction or portability, and object to processing based on legitimate interests. You may object to direct marketing at any time. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing. Dig Maps does not make solely automated decisions about you with legal or similarly significant effects.

Email office@dig-maps.com. We may make proportionate identity checks. Rights are subject to legal conditions; we normally respond within one month and explain any permitted extension. You can complain to the Information Commissioner's Office, whether or not you contact us first.

Providing information and updates

Details marked as required are needed for the relevant account or registration. GPS is optional. Please avoid unnecessary sensitive information in messages or notes. We will update this notice when practices change and bring significant changes to your attention where appropriate.
